June 25, 2021 9:50 AM from Nichole Frederick to everyone: We'll start taking questions at 10:00 June 25, 2021 9:57 AM from Katie Buttrey to everyone: With having over 100 bags daily receiving and sending out how big are these totes we are supposed to use? June 25, 2021 9:58 AM from Nichole Frederick to everyone: Tote size: 21 -7/8” X 15-1/4” X 12-7/8”. June 25, 2021 9:58 AM from Sherri Long to everyone: Can we expect the new courier to show up at our location on Monday during the hours we request via the survey? It's not my normal day to be on campus but I'm going in to meet up with the new person. June 25, 2021 10:00 AM from Mandi Gruss to everyone: Will our drivers come into the building to get the totes or is staff expected to lift the totes onto a cart to take out of the building? Currently, the bags go into a rolling bin and we push it out to the garage for pick-up. June 25, 2021 10:01 AM from Sherri Long to everyone: No, that's fine. I know it will be longer at each location as they start. Just wondering if I can expect them before noon on Monday. :) June 25, 2021 10:02 AM from Lori Scheer to everyone: Our driver is requesting keys to the building so he can pick up before open hours. Is that something anyone has done before? Is it recommended? June 25, 2021 10:02 AM from Tabitha to everyone: Storage is an issue here. Do we know how many tubs/totes are going to be delivered ? June 25, 2021 10:02 AM from Michele Raine to everyone: We ship a lot of material. I have a lot of concerns about storage of totes before they are picked up. I really don't want staff to have to stack totes. Do you know how much will fit in one tote? June 25, 2021 10:03 AM from awilkins to everyone: The public library labels will be changing. I'm assuming the OhioLink labels will also be different. June 25, 2021 10:03 AM from Cheryl Burley to everyone: Do we keep the old gray totes to use or are do we turn those in to Priority Dispatch? I recall area libraries paid for the old gray totes. June 25, 2021 10:03 AM from Katie Buttrey to everyone: How will damaged items be handled? June 25, 2021 10:04 AM from Cindy (privately): We had a question about using boxes; usually we have put items into cardboard boxes then place the boxes in the bags...are we still able to do this? June 25, 2021 10:04 AM from Rene Dix to everyone: We've given drivers a key to our building. Not had a problem. June 25, 2021 10:05 AM from DeeAnna Madison Public Library to everyone: We pack in ingram boxes not always bags. At this point, we do not even have but a few bags. June 25, 2021 10:05 AM from Nichole Frederick to everyone: Yes, OhioLINK labels have changed June 25, 2021 10:07 AM from Nichole Frederick to everyone: For damaged items, you can file a claim similar to Priority's process, we'll post the info on how to submit a claim when we receive from STAT June 25, 2021 10:08 AM from Carol Tuttle to everyone: We are a CLEVNET library and typically fill about 30 large boxes (one library per box) each day along with multiple bags which will now be combined into totes. So we can't package up the large box loads into totes until totes are dropped off Monday. Can we assume that we will get about 40 totes on Monday? June 25, 2021 10:12 AM from Jamie Pardee to everyone: Labels for the public libraries will be updated as soon as I get the final manifest from STAT Courier. I was promised this information this morning. I will send out a message on the list serve as soon as I update the labels. June 25, 2021 10:12 AM from Nichole Frederick to everyone: OhioLINK labels are ready, Public Library labels are not ready June 25, 2021 10:16 AM from Lisa Mikki Casto to everyone: So can we staple the padded mailers then? June 25, 2021 10:16 AM from Courtney McGrath to everyone: What about closing those padded envelopes? the instructions say no staples or tape June 25, 2021 10:16 AM from Jamie Pardee to everyone: Sending the occasional cardboard box or larger totes will be acceptable in the system. STAT is encouraging the use of the totes to minimize damaged items and maximize space on their vehicles. June 25, 2021 10:16 AM from Jessica Curtis to everyone: Do you have any images to share as to what the totes look like or where the labels will be affixed? June 25, 2021 10:16 AM from Katie Buttrey to everyone: So we can staple the padded envelopes? June 25, 2021 10:16 AM from Heather Miller to everyone: Do you need the libraries to purchase more canvas bags? June 25, 2021 10:18 AM from Jamie Pardee to everyone: The State Library just ordered 2,000 new canvas bags but they have not arrived yet. June 25, 2021 10:19 AM from Jessica Curtis to everyone: Are there links for STAT (damage, bag request, questions) that we can have so as to embed them into our wikis and internal websites (ex: searchohio.org). June 25, 2021 10:19 AM from Sherri Long to everyone: I missed that someplace....for Monday's pickup we have to find boxes to put our canvas bags in? June 25, 2021 10:21 AM from Jamie Pardee to everyone: For the state library we are not changing our customer service form. We will simply remove Priority Dispatch from receiving the forms and add STAT Courier as the courier receiving the forms. June 25, 2021 10:21 AM from Nichole Frederick to everyone: OhioLINK is the same, the courier service form stays the same for reporting issues and closings June 25, 2021 10:22 AM from Jamie Pardee to everyone: For Monday, you can find boxes or just use the canvas bags you currently have. The drivers will be picking up as much material as possible on Monday but can't guarantee they can haul everything because of not having the totes. June 25, 2021 10:23 AM from Tabitha (privately): the tubs with multiple libraries in them- do not need shipping labels on outside of tote? June 25, 2021 10:24 AM to Tabitha (privately): Shipping labels go on the bags as usual, they just want us to secure everything in a tote to limit damage June 25, 2021 10:25 AM from Jamie Pardee to everyone: Monday will be driver meet & greet and location familiarity. Tuesday and Wednesday will continue driver meet and greet and they will drop off totes. Thursday STAT will provide full service so picking up and dropping off material. June 25, 2021 10:26 AM from Cheryl Burley to everyone: There are window sleeves with adhesive that can be stuck to the tote. Libraries could purchase these to attach to the tote. The shipping label could slide inside window. FYI June 25, 2021 10:28 AM from DeeAnna Madison Public Library to everyone: What is the time frame for Stat arriving at the libraries next week. I only have staff here from 8-5 on Monday. June 25, 2021 10:30 AM from Lisa Mikki Casto to everyone: I find it a lot easier to open the mailers if they're stapled rather than taped. It's pretty fast and easy to take out the staples with a staple remover, especially one with a push style mechanism. Bostitch makes a good one. June 25, 2021 10:31 AM from Jamie Pardee to everyone: Delivery window per contract is 8-5. However the routes may take a little while longer the first couple of weeks as the drivers familiarize themselves with each location. June 25, 2021 10:32 AM from Tiana McKay to everyone: Priority is still picking up items today? June 25, 2021 10:32 AM from Nichole Frederick to everyone: Yes, Priority is picking up today June 25, 2021 10:32 AM from Rene Dix to everyone: It's when there are way too many staples that it's a problem. 2-3 if fine. 10 is overkill. June 25, 2021 10:33 AM from awilkins to everyone: Will we still need to use bubble wrap on AV materials and cardboard on paperbacks? June 25, 2021 10:34 AM from Stacey Hensley Alger Public Library to everyone: Love the zipper bags, the canvas bags with the metal clip hurts the shin lol June 25, 2021 10:34 AM from Jamie Pardee to everyone: Using the cardboard boxes for the CDs/DVDs does help protect the items. June 25, 2021 10:34 AM from Stacey Hensley Alger Public Library to everyone: Yes Rene 2-3 is great, anything over is overkill June 25, 2021 10:36 AM from Jessica Curtis to everyone: Can we use the pcirc lists to send each other extra totes (much like we do large and small bags)? June 25, 2021 10:37 AM from Courtney McGrath to everyone: they start picking up on Monday? or Tuesday? Just curious on the labels for public libraries and having items ready June 25, 2021 10:37 AM from Nichole Frederick to everyone: STAT is going to start picking up Monday June 25, 2021 10:37 AM from Stacey Hensley Alger Public Library to everyone: So we are shipping out material on Tuesday the 28th(Tuesday is our regular cargo day) June 25, 2021 10:38 AM from Judy Schulz (privately): How many stops will be on routes? Same as before? June 25, 2021 10:38 AM from Katie Buttrey to everyone: Will libraries get copies of the contract? June 25, 2021 10:38 AM from Janet Forney to everyone: We're allowed to use the canvas bags we have? June 25, 2021 10:38 AM from Courtney McGrath to everyone: When do we expect new labels to be ready for public libraries? June 25, 2021 10:38 AM from Sherri Long to everyone: After the transition time is over, are they expected to arrive approximately the same time every day? June 25, 2021 10:38 AM from Nichole Frederick to everyone: Yes, please use the canvas bags that you have June 25, 2021 10:42 AM from Michele Raine to everyone: Did we find out if the giant rolling carts belong to current delivery company? Will they be taking them away? June 25, 2021 10:43 AM from kathleen.runser to everyone: Will this be archived? I have other staff that need to hear all of this information. June 25, 2021 10:43 AM from Nichole Frederick to everyone: After transition is over, we expect them to delivery the same time every day June 25, 2021 10:45 AM from Lisa Mikki Casto to everyone: So how do we contact STAT if we need extra totes? June 25, 2021 10:46 AM from Nichole Frederick to everyone: Lisa, requesting totes will be added to the courier service form June 25, 2021 10:50 AM from Theda Schwing to everyone: https://www.ohiolink.edu/forms/ohiolink_courier_delivery_service_issues June 25, 2021 10:51 AM from Nichole Frederick to everyone: I can make a copy of the chat and send out June 25, 2021 10:51 AM from Jamie Pardee to everyone: Starting today and continuing into next week, Priority Dispatch will be picking up all equipment that they have provided to the libraries for delivery. June 25, 2021 10:52 AM from Amanda Mesas to everyone: Are labels going to be located in the same place on the SEO website? June 25, 2021 10:52 AM from Charlene Helsel-Kather to everyone: Can you supply the link to the website for the public library online form? June 25, 2021 10:52 AM from Michele Raine to everyone: What's the mechanism for requesting totes directly from STAT? June 25, 2021 10:53 AM from Nichole Frederick to everyone: The courier service form/customer service form is where you will request totes June 25, 2021 10:54 AM from Eric Maynard to everyone: https://library.ohio.gov/services-for-libraries/statewide-delivery/ June 25, 2021 10:54 AM from Lisa Mikki Casto to everyone: Where are the hubs for STAT located? June 25, 2021 10:55 AM from Nichole Frederick to everyone: the hubs are in Akron, Cambridge, Cinci, Columbus, Cleveland, Dayton, Toledo June 25, 2021 10:56 AM from Stacey Church to everyone: WE have had mixed answers in the past..will we need to fill out the bag count report for the state? June 25, 2021 10:57 AM from Josh S. to everyone: Joined the chat a little late...we are to continue using canvus bags for now? June 25, 2021 10:57 AM from Nichole Frederick to everyone: OhioLINK libraries still report bag statistics June 25, 2021 10:57 AM from Jamie Pardee to everyone: CAM for Cambridge, COL for Columbus, CIN for Cincinnati, DAY for Dayton, CLE for Cleveland, TOL for Toledo, AKR for Akron June 25, 2021 10:57 AM from Nichole Frederick to everyone: Yes, we will still use canvas bags June 25, 2021 10:59 AM from Michele Raine to everyone: should we switch to tote count instead of bag count? June 25, 2021 11:00 AM from Nichole Frederick to everyone: Use bag count June 25, 2021 11:00 AM from Jamie Pardee to everyone: Bag count please since totes may contain items for multiple locations June 25, 2021 11:01 AM from Amanda Mesas to everyone: Will courier tell us bag count when they drop off bags? June 25, 2021 11:01 AM from Tiana McKay to everyone: Should we also destroy the out of system labels? June 25, 2021 11:01 AM from Nichole Frederick to everyone: No, courier won't have a bag count June 25, 2021 11:02 AM from Selover Library to everyone: Sorry, I got pulled away and missed the possibe answer about tote size(s). Are they the blue totes we currently use? Thx. June 25, 2021 11:02 AM from Nichole Frederick to everyone: Totes are blue and are 22x15x13 June 25, 2021 11:03 AM from Jessica Curtis to everyone: The labels make really good scrap paper for OPACs June 25, 2021 11:03 AM from Marlene Pelyhes to everyone: if we have library owned totes the same size, will be be able to use those? June 25, 2021 11:03 AM from Bev Follin to everyone: Jamie, will you send out email once new labels are ready? June 25, 2021 11:04 AM from Edward Worso to everyone: A number of CLEVNET libraries are using them June 25, 2021 11:04 AM from Marlene Pelyhes to everyone: thanks! we have at least 100 totes June 25, 2021 11:05 AM from Edward Worso to everyone: There is a share among library systems June 25, 2021 11:05 AM from Jamie Pardee to everyone: Yes, I will send out an email as soon as the labels are ready. June 25, 2021 11:07 AM from Lisa Mikki Casto to everyone: I'm assuming from previous comments that the totes will have lids? (Hopefully!) June 25, 2021 11:07 AM from Sherri Long to everyone: good question! I was wondering if they'd come in my front door or go right to the loading dock and ring the doorbell June 25, 2021 11:07 AM from Dan Moore to everyone: Will drivers have an ID? June 25, 2021 11:08 AM from awilkins to everyone: The survey I filled out asked where the delivery is to be made and who is the main contact person. June 25, 2021 11:08 AM from Tiana McKay to everyone: What kind of vehicle will they be driving? June 25, 2021 11:09 AM from Nichole Frederick to everyone: Totes have lids June 25, 2021 11:09 AM from Nichole Frederick to everyone: Vehicle they are using depends on the volume of the route June 25, 2021 11:09 AM from Josh S. to everyone: Wasn't contact information and drop off instructions part of the survey that we did in the last week or so? June 25, 2021 11:09 AM from Selover Library to everyone: We have some smaller blue totes with folding lids we use now 22x15x9 and 20x12x7. Presume those CANNOT be used, except to maybe place inside the STAT totes if ours fit? June 25, 2021 11:09 AM from Nichole Frederick to everyone: Yes contact information filled out in the survey went directly to STAT June 25, 2021 11:10 AM from Jessica Curtis to everyone: Will the driver be able to answer questions or (due to time constraints) will they tell us to use the online system? June 25, 2021 11:12 AM from Jessica Curtis to everyone: Am I missing anything: Monday: Priority is dropping off, but not picking up. STAT picks up materials and puts them in totes. They will leave an equal # of totes (they filled 10, they leave 10). The driver will introduce themselves and you will be able to ask questions. Longer or unanswerable questions may be asked to use the online form. June 25, 2021 11:13 AM from Nichole Frederick to everyone: Yes, except STAT will be dropping off totes on Tuesday June 25, 2021 11:13 AM from Katie Buttrey to everyone: How long will we have to fill out claims about missing items from Priority dispatch? June 25, 2021 11:15 AM from Cathy Norman to everyone: From a small library - if a large library is shipping to a smaller library is the small library going to have to wait for the tote to be full for delivery? June 25, 2021 11:15 AM from Nichole Frederick to everyone: No, you do not have to wait for the tote to be full to send out June 25, 2021 11:17 AM from Rebecca Raeske-Grinch to everyone: We send a lot of ILLs to public libraries via the courier service. Are there going to be all new labels for that, and when can we expect to see them? June 25, 2021 11:18 AM from Jessica Curtis to everyone: If you are going to give access (cards/keys) is that done Monday? June 25, 2021 11:20 AM from Rebecca Raeske-Grinch to everyone: thanks! June 25, 2021 11:20 AM from Jessica Curtis to everyone: Is this what you're talking about: https://sds-labels.library.ohio.gov/ June 25, 2021 11:21 AM from Lisa Mikki Casto to everyone: We use labels from the Statewide Delivery. Will the ILL labels be different for that? June 25, 2021 11:21 AM from Rebecca Raeske-Grinch to everyone: That's what we've been using June 25, 2021 11:21 AM from Claire Ballinger to everyone: We also use that June 25, 2021 11:25 AM from Jessica Curtis to everyone: Brokenn tote procedure? June 25, 2021 11:25 AM from Lisa Mikki Casto to everyone: Yes, thank you! June 25, 2021 11:26 AM from Tabitha (privately): will someone from STAT contact the libraries should something unexpected happen to where they may be late or just not able to delivery? June 25, 2021 11:27 AM from Josh S. to everyone: All of the questions that you are taking to STAT today, will you email the PCirc list with the answers? June 25, 2021 11:27 AM from Nichole Frederick to everyone: Yes, we will send out the chat June 25, 2021 11:27 AM from Lisa Mikki Casto to everyone: How do we access that? June 25, 2021 11:28 AM from Tabitha (privately): will we have a direct contact person for STAT June 25, 2021 11:28 AM from Lisa Mikki Casto to everyone: Yes. June 25, 2021 11:28 AM to Tabitha (privately): Yes, similar to Priority, they let us know if a driver is our or there is a problem with the route, they will let us know June 25, 2021 11:28 AM from Lisa Mikki Casto to everyone: Okay, thanks! June 25, 2021 11:29 AM to Tabitha (privately): We will post contacts at each hub, but you should fill out a support request, which is copied directly to STAT June 25, 2021 11:34 AM from Rebecca Raeske-Grinch to everyone: Did I miss something? Why do we need zip ties? June 25, 2021 11:35 AM from Rebecca Raeske-Grinch to everyone: So the totes have lids? June 25, 2021 11:35 AM from Josh S. to everyone: No more asking for bags of bags! Like you you said Jessica, we can ask for totes of bags! June 25, 2021 11:36 AM from Rebecca Raeske-Grinch to everyone: great, thanks! June 25, 2021 11:38 AM from Tabitha (privately): We supply our branches with totes for packing. Will STAT want us/them to use their totes instead? June 25, 2021 11:39 AM to Tabitha (privately): We need to confirm with STAT June 25, 2021 11:41 AM from Rebecca Raeske-Grinch to everyone: Will they be required to enter our building, or can they just drop off? June 25, 2021 11:42 AM from Melissa Cammel to everyone: Our library usually reports our daily bag counts at the end of every month. Should we still do that this month, or should we report all of our Priority bags today, and then all of our STAT bags at the end of the month? Is the reporting changing in any way? June 25, 2021 11:42 AM from Nichole Frederick to everyone: Just report bag stats as usual June 25, 2021 11:42 AM from Nichole Frederick to everyone: The form to report bag stats stays the same June 25, 2021 11:43 AM from Rebecca Raeske-Grinch to everyone: We plan on meeting the driver those days June 25, 2021 11:43 AM from Jamie Pardee to everyone: Our form is not changing and includes the date. June 25, 2021 11:47 AM from Jessica Curtis to everyone: Monday: Priority is dropping off, but not picking up. Place/move those items so that they don't look like a pickup to STAT. The driver will introduce themselves and you will be able to ask questions. Longer or unanswerable questions may be asked to use the online form. If you are ging access keys/cards, this is done here. Tuesday: Priority is dropping off, but not picking up. Place/move those items so that they don't look like a pickup to STAT. STAT picks up materials and puts them in totes. They will leave an equal # of totes (they filled 10, they leave 10). Wednesday: Priority is dropping off, but not picking up. Place/move those items so that they don't look like a pickup to STAT. Pack as normal. Use the SO/OL bags as normal. Put the label on the bag. Put the bag in the totes. Use the dropped-off totes. Don't stack them higher than 5. If a bin is filled with items going to only 1 location, close the tote with a zip tie and put the label directly on the tote June 25, 2021 11:48 AM from Jessica Curtis to everyone: Thursday - Friday: Pack as normal. Use the SO/OL bags as normal. Put the label on the bag. Put the bag in the totes. Use the dropped-off totes. Don't stack them higher than 5. If a bin is filled with items going to only 1 location, close the tote with a zip tie and put the label directly on the tote. Things to Note: Deliver timing may vary this week as they get to know the routes and speak with libraries. It is recommended that totes be loaded at the location where STAT will pick up the items. i.e. Fill a tote, close it, place an empty one on top, fill that one. STAT will use a dolly to then take that stack. If an item doesn't fill a tote, use a box or other package and put the label on that. They will take items that don't fit in totes. Still use the bubble mailers for media and OhioLink items. Out of bags? Bubble envelopes can go directly in the totes (with the label affixed on the mailer). Need totes or have too many? Use the State Library service form here: June 25, 2021 11:49 AM from Jamie Pardee to everyone: Looks accurate to me! Will we ask STAT where to place the labels on the zip tied totes. (top or side). June 25, 2021 11:49 AM from Jamie Pardee to everyone: Yes, use the customer service form found on the State Library website to ask for additional totes. June 25, 2021 12:07 PM from Janet Forney to everyone: We are trying to decide if we should pack in canvas bags today for Monday pick up by Stat. Are they showing us how to pack the totes? June 25, 2021 12:08 PM from Nichole Frederick to everyone: STAT sent us a picture of a packed tote, but the items are not in bags June 25, 2021 12:09 PM from Nichole Frederick to everyone: They estimate that the totes will hold 5-10 bags June 25, 2021 12:10 PM from Jamie Pardee to everyone: The drivers will be dropping off totes on Tuesday and Wednesday and will assist you with packing the totes. Yes, those items were not in bags, they were just giving us an idea of how big the totes are. You can pack items in canvas bags or padded envelopes then put those into the totes. June 25, 2021 12:10 PM from Lina Hall (privately): Can we still use padded envelopes? June 25, 2021 12:11 PM from Nichole Frederick to everyone: Lina, Yes you can still use padded envelopes June 25, 2021 12:30 PM from Kristi Eblin to everyone: We often use small cardboard boxes for a handful of DVDs or CDs. We've found a box to be more protective than a padded envelope. Can these be placed inside the totes with a label directly on the box or do they need to go inside a bag and then inside the tote? June 25, 2021 12:35 PM from Lisa Mikki Casto to everyone: I think I missed the answer to a recent question about whether or not it's okay to put boxes with items inside the totes or if they need to go in a bag? June 25, 2021 1:12 PM from Jamie Pardee to everyone: I will send it out as an attachment to the statewide delivery list serve when I send the message regarding the updated labels. My IT department is working on them now. June 25, 2021 1:12 PM from Lina Hall to everyone: Since we will still be able to use small boxes and padded envelopes, do we secure them with rubber bands, but not tape. Am I correct? Thanks June 25, 2021 1:14 PM from Nichole Frederick to everyone: Is the rubber band rule specific to your consortium? Are you saying that we cannot use tape to close small boxes between libraries that have agreed to do so? June 25, 2021 1:16 PM from Lisa Mikki Casto to everyone: I'm concerned about using a rubber band around boxes in case it breaks. June 25, 2021 1:18 PM from Jamie Pardee to everyone: I agree with Theda, I think it is a judgment call and we do understand that if you have a medium sized box with 4 books in it then mght be easiest and best to tape the box closed then place the box directly into the tote. But for a tiny box a rubberband is the way to go. June 25, 2021 1:19 PM from Jessica Curtis to everyone: A reminder to buy zip ties if you don't have any. June 25, 2021 1:35 PM from Jessica Curtis to everyone: Things to consider for next week: who will talk to the driver on Monday, where the bins will live for pickup, where will extra bins stay/be stored, how will you move either the bags to the bins or the bins to the pickup area if you pack them then move them June 25, 2021 1:45 PM Can you provide a direct link to the labels website? June 25, 2021 1:45 PM from Theda Schwing to everyone: https://sds-labels.library.ohio.gov/ June 25, 2021 1:45 PM from Theda Schwing to everyone: https://platinum.ohiolink.edu/cgi-bin/priority-labels June 25, 2021 1:45 PM from Jamie Pardee to everyone: For the public libraries who do not have updated route information, when you pull up the label in the system the bottom right corner of the label will be blank. Once I receive all of the route information we will add that.
