[OPLINLIST] E-Rate Reminder -- Save Your Documentation

As another E-Rate year ends, the State Library would like to pass on
this reminder to libraries receiving E-Rate funds -- the end of the
E-Rate funding year is the ideal time to label and file all of your
program-related documents for the previous year.  

The FCC requires both applicants and service providers to retain the
relevant technology plan and all documentation related to the
application for receipt and delivery of discounted services for five
years after the last date service is received. Most of the documentation
needed by auditors and for other program reasons is maintained by
applicants. However, service providers do have copies of contracts,
evidence of payment of customer bills, SPI Forms, and other useful
program information. 

Per the FCC it is acceptable to store information electronically for
example, by scanning paper documents and archiving the scanned files.
If you store files electronically, remember to name files in a way that
you can easily identify and retrieve information.
