Good Afternoon All,
This was posted in 2005 on the list.
Does anyone that responded then have any updates?
Does anyone else have a policy and fees they'd like to share?
Thanks,

Subject: [OPLINLIST] meeting room policy responses
Hi Everyone,
Thanks to everyone who responded to my meeting room policy question. Here are the responses I received.
In Gallipolis, we charge $25.00 for the use of the meeting room. At this point there is no duration of time covered for this fee - we are considering limiting the time, or increasing the amount charged for longer meetings.

Ours is free for educational, cultural, non-profit uses. A few local businesses have made "donations" ($50) when they used it for staff meetings.

No, we do not charge for the meeting room. It can only be used by non-profit organizations, so many do not have money to spend. Some groups will give a donation or perform service projects at the Library.

We do not charge, but use is limited to non-profits, education, government, etc. Our complete meeting room policy can be found at www.pickawaylib.org > General Information > Meeting Room > Meeting Room Policy.

We do not charge for meeting room use; rather, we have the user make a $15 deposit. If the facility and furniture are not damaged, the user gets his or her money back. Hope this helps.

We have three meeting rooms, a conference room, and six study rooms at the Franklin Public Library. We do not charge for use of the rooms. Library programs and non-profit groups have priority use. We do accept donations.

Our policy is to charge for private parties, but not for non-profit groups such as school, quilt club, etc. We do not allow any money making ventures at all in the library.
We charge $50 for the use of the room and kitchen. Our room is in almost constant use. In order to reserve the room for library use, we do not allow too many groups who meet monthly. We also do not allow weekly meetings of groups. We have to put our programs in the scheduling book early. If I’m not sure of a program, I still write it in with a question mark until it is finalized. Our facility is really the only place in town that can be used, except for churches.
Hope this helps. Cheryl Dreher Hurt/Battelle Memorial Library, West Jefferson
Oak Harbor's meeting rooms are only available for use by non-profits groups and tutors. We do not charge if the rooms are used during our regular hours. If a group stays late, we charge $5 for each 15 minutes, or $20 an hour. We figure that covers the cost of a staff person staying to lock up.

We have a meeting room that has a collapsible wall that divides it into 2 rooms. We charge $40 for the entire room (seats 50 at tables) & an additional $10 if they want the kitchen (total $50), otherwise, we lock it. Divided, the larger of the two rooms seats 35 and we charge $25 for it, $35 with the kitchen; the smallest room seats 15 and the charge for it is $15 – kitchen is not available with this room. Charge is for the whole day (until midnight) or any part of the day. We do not charge the schools (we are a school district library) when they use the rooms for testing, contract negotiations, or teacher meetings. We also allow the Community Association to meet there monthly at no charge. Hope this helps!

As of now there is no charges for meeting room use. We do limit use to
no-profit or community groups. I have attached a copy of our present
policy and reservation form where everything is explained. .

At Loudonville we have a situation where we can have two meeting rooms or fold up the room divider and have one large room. We have a system worked out so we know when one or both rooms are being used or when we need to have it as one big room. This is great for large parties and wedding receptions. Our rooms are done on a donation basis for non profit and we charge $50.00 for anyone using the room for a profit example Avon or Tupperware parties. We have a kitchen available also and if the profit groups wish to use it we charge an additional $50.00. Non profit can use as part of the agreement.
There are bathroom facilities just outside the doors and the rooms are available after hours under certain conditions. We have a form to fill out and a list of do's and don't the groups receive when signing the agreement. This system has been in place with some adjustments for four years now and the public enjoys and appreciates the availability of the nice facilities for a donation. Most individuals do donate money for the time they use the room especially if it is a party or large gathering. We have groups which use them on weekly, bi-weekly and monthly basis like girl scouts and school boosters.
Hope this is of help. Rachel Mathie Loudonville Public Library
We have 5 meeting rooms and 6 smaller meeting spaces in the building. The only space we charge for is our PC Lab, which is $50 per hour, because of the equipment, software, and setup/security required. It is rarely contracted for. The only other thing we charge for is before and after hours use of any of the spaces in the building. That is also $50 per hour, since we have to bring in both building staff and outside security. It also covers the overhead (lighting and HVAC that normally would not be on during that time).

We charge $20.00. If the meeting room is left in good condition when the person is finished, we refund $10.00. So when it's all said and done, I guess the cost is $10. Kathy South <southka at oplin.org>
