Events Specialist - Community Engagement
Salary Range: $47,195.20 - $73,611.20 annually
PURPOSE OF JOB:
The Event Specialist position is responsible for planning, support and execution of in-person and virtual events to fulfill the library's community engagement and public service strategies. This position coordinates all aspects of CML-hosted events from scheduling through post-event reporting; and serves as the point-of-contact and venue representative for external events held at the library.

Principal Duties and Responsibilities:

  1.  Manages the event creation, support, content and on-site leadership for events and programs including the library's author series, Columbus Book Festival, aspirational building program events and annual signature events; and provides support and event leadership to key community and CML-hosted events at branches.
  2.  Works with strategic partners (both internal and external) to deliver high-quality events that represent the library's strategic plan and brand.
  3.  Coordinates planning, delivery, and production of a portfolio of CML-hosted events, both in person and virtual, from inception through completion, ensuring successful outcomes through the management of project timelines and logistics, registration, and check-in processes, procuring supplies, volunteer management, budget tracking, marketing requests, internal communication, and vendor and speaker negotiations.
  4.  Serves as the on-site person-in-charge for CML-hosted events at Main Library and/or branches by directing set-up, execution and tear-down, including managing/directing Event Leads, custodial support, vendors, volunteers and CML staff; and managing the customer experience for attendees.
  5.  Serves as the venue representative for external and partnership events held at Main Library and/or branches, including coordinating the scheduling, internal communication and CML support department requests; managing partner relations; and providing on-site event leadership.
  6.  Builds and maintains strong relationships with internal stakeholders who support library events; includes communicating needs in a timely manner and collaborating on workflow and scheduling.
  7.  Acts as a library representative in the community, at events and through outreach presentations, by sharing key messages to communicate the library's vison and purpose, strengthens brand awareness, drives customer visits, and encourages community engagement.
  8.  Writes and delivers content to the Marketing & Communications department for marketing pieces, social media, Communico event listings, emails and/or website(s) ensuring that all messaging accurately represent the library's programs and events.
  9.  Provides administrative support to the Event Manager, including fulfilling information requests, preparing briefing materials and research for projects and strategic organizational and departmental initiatives.
  10. Performs additional duties as assigned.

Qualifications and Requirements:

  1.  High School Diploma or G.E.D required. Bachelor's degree in a related field preferred.
  2.  3-5 years of event planning, project coordination or outreach experience desired.
  3.  Strong organization and critical thinking skills. Ability to anticipate needs and give attention to detail.
  4.  Highly motivated and proactive; possesses the ability to take initiative, manage multiple complex projects, negotiate conflicts, prioritize work, and meet tight deadlines under pressure.
  5.  Ability to effectively communicate, verbally and in writing, with professionalism and in alignment with the library's brand voice.
  6.  Comfortable acting as the person-in-charge. Ability to quickly and calmly make actionable decisions in high-pressure situations, sometimes in front of a crowd, library leadership, community partners, and/or VIPs.
  7.  Ability and commitment to work with the public.
  8.  Ability to effectively present in a variety of formal settings - one-on-one and in groups; to peers and library leadership, etc. Commands attention and confidently manages group process.
  9.  Ability to operate library technology including personal computer, email, software programs (i.e., Windows/Microsoft Office) and other job-related equipment and systems.
  10. Ability to utilize reliable transportation to promptly report to job assignment and other locations, per job requirements.
