[Seo-circ] Update: Handling Bounced Email Addresses

Hello everyone:

As announced during office hours yesterday, the new process for handling bounced email addresses will begin on January 20, 2026.

When an email bounces, a note will be added to the patron's account. For details on bounce reasons and the appropriate actions to take, please refer to this Knowledge Base article: https://support.servingeveryohioan.org/a/solutions/articles/69000874646?portalId=69000009265

Starting January 20:

  *   Links to the SEO Notice Opt-In and Remove DNC forms will be live.
  *   A paper version of the SEO Notice Opt-In form will also be available for those who prefer a physical form.

The recording of the Open Office Hour will be available next week.

Greetings all!

We're making improvements to how we manage email addresses that have bounced or been marked as undeliverable.

Starting in January, our system will automatically update patron accounts when an email address is reported as invalid weekly on Tuesdays. This includes:

  *   Removing the problematic email address from the account
  *   Updating notification preferences to ensure continued communication
  *   Adding a note to the account with details about the change

We're also working on knowledge base articles to guide library staff on how to handle different types of email bounce reasons.

This new process replaces the monthly bounced email list previously sent by Patron Point and will help streamline communication and improve service.
