Sponsored by Heritage Preservation,<https://www.heritagepreservation.org/>  MayDay encourages institutions to take one small step toward protecting the books, documents, records, and art and artifacts they hold in trust.  Each year, Heritage Preservation<http://www.heritagepreservation.org/mayday/?utm_source=C2C+Online+Community&utm_campaign=1e70f36387-c2cmayday&utm_medium=email&utm_term=0_4920f3dca1-1e70f36387-55796782> collects examples of the simple steps cultural heritage institutions take in order to be prepared for a disaster.

The Ohio Connecting to Collections<http://www.webjunction.org/partners/ohio/oh-programs/connectcollect.html> partners, are encouraging Ohio's cultural heritage institutions to take part in MayDay activities.  As an incentive to participate in May Day activities, any cultural heritage organization that submits a disaster plan to one of the partner organizations (State Library of Ohio, Ohio Museums Association, Ohio History Center, Ohio Local History Alliance) by May 31, 2014 will be entered into a drawing for one of five Emergency Response and Disaster Wheel<http://www.heritagepreservation.org/catalog/wheel1.htm>.

The Ohio Connecting to Collections partners encourage libraries, archives, museums, and historical societies to invite their local fire departments to their site this May for a walk through.  In an emergency you will be working with your local first responders to save your materials and secure your institution.  A walk through will help first responders know what materials and items are of highest priority to be save should a disaster occur.  By working together, institutions and fire departments can gain understanding of how each other works, and dramatically increase the possibility of preserving lives, facilities, and collections in an emergency.

Invite your local fire department for a walk-through.  Ask them for assistance in emergency pre-planning and drills.  Following is a list of items your local fire department will want to know about your institution and collections in order to respond effectively to an emergency.  Make sure you discuss procedures that can help prevent unnecessary damage during response and recovery efforts. This includes both the removal and/or protection in place of the collection.

*        blueprint/floor plan of building with names or numbers identifying specific rooms/locations.

*        floor plan indicating location of shut-off valves, alarms, sprinkler systems, phone lines, etc.

*        map of property

*        copy of your exit plan

*        floor plan citing location of hazardous materials (chemicals, lawn care, paint, etc.)

*        floor plan citing location of priority materials.  Photos of those materials should be attached.

*        contact information for key staff and board members

*        name of point person to work with at fire department and other first responders
Remember:  The more information you prepare in advance, the better prepared everyone will be during an emergency.  Therefore, the month of May is also an excellent time to review and update (or begin) your disaster plan.

Heritage Preservation<https://www.heritagepreservation.org/programs/TFPlanPrepare.html> has information and resources to assist institutions in writing a disaster plan.
Additionally, many Ohio organizations, including the Ohio Preservation Council (OPC) and the ICA offer workshops on writing disaster plans on a fairly regular basis.

ICA and the Ohio Museums Association will be offering "Disaster Planning Redux: Polar Vortices, Super-Storms and Sink Holes, Oh my!" on June 23, 2014 from 10:00 - 1:00 at the ICA - Art Conservation Labs.
