We are currently seeking an Administrative Assistant to perform clerical work on paper and electronic records. Some of the tasks involve processing documents into an electronic record keeping system, creating and running database queries, and filing and processing paper records. This work requires in-depth analysis, decision making within broad constraints and use of judgment. Work requires a sound knowledge of department procedures related to the work performed and in-depth knowledge of MS Office suite and database applications.

 MAJOR RESPONSIBILITIES
    Completes on-line forms with information found or supplied by others. May involve obtaining appropriate approvals and signatures.
    Check or assemble numerical, statistical or financial information for accuracy and completeness.
    Interact with and assist others to resolve inquiries and complaints which may require research; answer routine requests for information.
    Create and edit documents, forms, cards, and labels; utilizing the capabilities of MS Office suite, database applications, and computer equipment.
    Draft summaries and reports of compiled information.
    Contact other staff and outside parties regularly to exchange information or respond to business correspondence.
    Receive, sort, process, screen and route mail and e-mail to appropriate parties; handle business sensitive information using appropriate security measures.
    Answer telephone, deliver messages, greet visitors, distribute reports and run errands.
    Use equipment to copy and/or scan documents, including running optical character recognition software on files.
    Screen inquiries and independently route to appropriate individuals for response.
    Independently compose correspondence for review.
    Duplicate, assemble and collate documents manually or using office equipment.
    Maintain accurate, complete and current files both electronically and in hard-copy; sort, file, locate and retrieve materials and information; enter data using computer terminal to create, revise, or supplement files.
    Order supplies, equipment or furnishings, operate and perform minor maintenance or arrange for maintenance of office equipment.

 THE FOLLOWING REQUIREMENTS MUST BE MET TO BE CONSIDERED FOR THIS POSITION:
    Five or more years of professional experience in utilizing word processing and computer skills, including demonstrated expertise with Microsoft Office Suite (Word, Excel, PowerPoint) and Microsoft Outlook.
    Proficient in creating professional technical documents using Word, presentations using Power Point, and the ability to manipulate and analyze data using Excel.
    Demonstrated ability to multi-task, prioritize, schedule and organize work; perform under tight deadlines and adapt to changing priorities.
    Demonstrated ability to work as part of a team.
    Strong attention to detail and excellent verbal and written communication skills.

THE FOLLOWING IS DESIRED, BUT NOT REQUIRED TO BE CONSIDERED FOR THIS POSITION:
    Undergraduate degree preferred
    Experience using HP TRIM, or other electronic records keeping systems that meet the Department of Defense standard - DoD5015.2
    Experience in records or enterprise content management, taxonomies, or classification systems
    Experience with Good Laboratory Practices
    Experience using Microsoft Access and/or Excel
