Regional Information Management Coordinator Job Description

Summary
The Regional Information Management Coordinator is a position at Littler Mendelson that reports to the Manager, Information Management and will be located in the Cleveland office.  The Regional Information Management Coordinator role is responsible for providing operational support for the Information Governance Program, as well as implementation of Information Management initiatives throughout Littler Mendelson.
Job Description

 *   Work collaboratively with multiple user groups to support the implementation of an Information Governance Program  including;
    *   Providing awareness and training  on processes, policies and tools
    *   Supporting questions and providing timely answers utilizing best practices for managing electronic and paper records
 *   Work collaboratively and as back up support amongst the Regional Information Management Coordinator team to ensure that the team is delivering a high level of customer service
 *   Provide Operational support of the Information Governance Program to assigned offices by :
    *   Acting as a point of contact for local Records, Case Clerks, and Office Administrators
    *   Providing subject matter expertise in management of Client and Firm information through effective communication of process and utilization of firm tools
    *   Supporting file transfers of incoming and outgoing attorneys
    *   Overseeing the file closing process as preparation for disposition
    *   Facilitating the disposition of physical and electronic files based upon retention schedule, including client communications and coordination between local offices and storage vendor(s)
    *   Managing the Firm's records inventory process
    *   Conducting Risk Assessments of Littler offices
 *   Taking on special projects as assigned
 *   Work collaboratively with internal corporate departments, the firm's attorneys and other staff to ensure compliance with regulatory and contractual obligations


Job Requirements

 *   This position requires foundational knowledge of Records Management and Record Keeping.
 *   Experience with legal or other professional services firms a plus, but not required.
 *   This position requires strong written and oral communication skills and the ability to simplify and communicate complex concepts.
 *   Bachelor's Degree in relevant field or significant demonstrated experience in the field.
 *   Experience in managing records, conducting records inventories, and creating and maintaining records retention schedules, as well as record disposition.
 *   Experience in the implementation of large scale initiatives involving cross functional team structures.
 *   Experience in providing both hands on and remote training to diverse audiences.
 *   Interpersonal skills necessary in order to maintain effective relationships with attorneys, staff, and clients in person, by email, and telephone to provide information with ordinary courtesy and tact.
 *   Must be able to travel as necessary to provide support to the Firms offices in the US and international locations, and other travel as required.
 *   Ability to organize and prioritize numerous tasks and complete them under time constraints with little supervision.
 *   Work requires a reasonable amount of physical activity necessary to conduct on-site risk assessments, as well as work with boxes of physical data.

Summary
The Information Governance Program Analyst is a position at Littler Mendelson that reports to the Manager, Information Management.  The Information Governance Program Analyst role is responsible for providing support of the Information Governance Program within the Information Management Department.
Job Description

*         Manage compliance to ethical and client requirements of the client/matter file including access control, ethical screens and contractual obligations

*         Manage and implement the Firm's litigation hold process

*         Responsible for integrating Information Governance processes with existing Firm Vendor procurement and management processes

*         Manage compliance to regulatory and corporate requirements for information governance for the Corporate Departments including access control, contractual obligations, retention compliance, and vendor relationships

*         Develop process and procedure documentation

*         Manage and update records retention schedule based on record inventories

*         Develop awareness and training materials that support Firm Information Governance initiatives

*         Support Regional Information Management Coordinators as required to meet the needs of the firm

*         Develop, manage and maintain department metrics

*         Capture and document department business requirements for technology

*         Act as a liaison between the Information Governance Department and Information Technology
