Volunteer Services & Internship Coordinator - Volunteer Services
Salary Range:  $18.14 - $27.16 hourly
PURPOSE OF JOB:
Serves as the ambassador of CML's volunteer and internship opportunities to our community partners, CML staff and to current and potential volunteers and interns. Responsible for coordinating the volunteer and internship intake process, administratively supporting the Volunteer Services Manager through database management, volunteer engagement, community partnerships and process improvement.

Principal Duties and Responsibilities:


  1.  Manages the Volunteer and Intern intake process; processes applications, coordinates the background check and placement process, conducts weekly reporting, and reconciles timecards for paid programs.
  2.  Serves as point of contact to staff, interns, and potential volunteers for application inquiries, opportunities and hours available. Provides excellent and timely customer service to customers.
  3.  Manages the volunteer and intern tracking database through daily reviews and periodic file maintenance.
  4.  Facilitates regular volunteer communication through scheduled emails and other methods of communication. Develop recruiting messaging through content creation, social media engagement, and monitoring activity.
  5.  Organizes standardized volunteer training in collaboration with Human Resources. Investigates, modifies and utilizes digital resources to supplement learning for volunteers and interns.
  6.  Coordinates the volunteer incentive program and annual recognition event. Manages award lists and communicates with location staff for verification and updates. Communicates with award recipients, orders and assembles awards, arranges catering, and assists with event setup and execution.
  7.  Assists with recruiting events at community sites including materials preparation, booth set up and tear down, and converses with individuals while at the event.
  8.  Coordinates volunteer-related meetings, including the Volunteer Coordinator meetings and intern-related meetings. This includes room reservations, setup, agenda input, and meeting minutes.
  9.  Creates and prepares statistical data reports and charts on volunteer activity.
  10. Prepares correspondence, reports, and documents as needed.
  11. Coordinates delivery of volunteer gifts to locations.
  12. Assists with Main Library interns as needed, providing guidance on tasks.
  13. Performs additional duties as assigned.


Qualifications and Requirements:

  1.  High school diploma or G.E.D. with 2-3 years of progressive experience in providing administrative support, event coordination, project management or related experience required.
  2.  Bachelor's Degree from an accredited college or university with 1-2 years of experience in administrative support, event coordination, project management or related experience preferred.
  3.  Ability to communicate effectively and concisely, both orally and in writing.
  4.  Must be able to handle confidential information and multiple tasks.
  5.  Meets the expectations and requirements of external and internal customers.
  6.  Ability to operate library technology including personal computer, email, software programs (i.e. Windows/Microsoft Office) and other job-related equipment, databases, and systems.
  7.  Ability to utilize reliable transportation to promptly report to job assignment and other locations, per job requirements.
